The American Association for the Advancement of Science (AAAS) seeks a Financial Analyst III to join the Office of Science, Policy & Society Programs (OSPSP) Leadership Team. You will play a crucial role in the financial management of the programmatic team at AAAS and work closely with the Deputy Chief Program Officer to support the financial management of all units (currently eight) that compose the OSPSP.

This position assists with the accounting, financial reporting, budgeting, compliance, grant management, and contractual items for the OSPSP. In conjunction with the AAAS Finance Office, the position ensures there are effective financial and accounting system controls and standards and that the staff members within the department adhere to the use of these standards.

What You’ll Do

Financial Oversight

·      Prepares and reviews transactions for journal entries, ledgers and other records and preparing supporting account reconciliations.

·      Inputs monthly and annual financial budgets into the budget software and maintenance of information within this system in conjunction with the Deputy Chief Program Officer and Program Directors within OSPSP.

·      Assists with the preparation of reports using the budget software for use by the OSPSP Central Office and the financial managers in each of the OSPSP units.

·      Monitors progress and changes to all financial plans and budgets while keeping the Deputy Chief Program Officer aware of the OSPSP team’s financial status.

·      Provides financial information to meet the needs of managers including producing customized financial reports, trend analysis, and forecasts as needed, monthly, quarterly and annually.

·      Preparation of journal entries for revenue and credit card expenses.

·      Provides financial information to up to ten different departments within AAAS with which the position interacts with on a regular basis for interoffice budget transactions.

·      Prepares reports in advance of annual meetings with finance and Executive department staff to provide updates for the calendarization, grant review process, and mid-year AAAS funds review. Requires familiarity with initial budgeting metrics, status of spending to date and anticipated revenue.

·      Assists with the preparation of invoices, all components of expense reports, and project charges, and maintains necessary records.

  • Manages departmental credit card. Collects and codes receipts for credit card charges and prepares monthly reports for Finance. Assists with the preparation of financial policies for the OSPSP department. Ensures adherence with established policies.
  • Identifies potential training and development needs for financial and administrative processes within OSPSP and assists with preparing relevant materials to meet training objectives.

Grant Management/Proposal Preparation

·      Prepares budgets for proposals to federal organizations and private foundations. Must have extensive knowledge of the AAAS internal proposal approval protocol, grantor requirements and submission systems, and knowledge of financial requirements for proposed programs. Requires knowledge of various funding agency requirements for proposal submission, limitations and allowances for funds, and the ability to coordinate multiple deadlines.

·      Determines remaining funds available in grants and AAAS budgets. Must be able to run financial reports, forecast salary expenses, and coordinate with the Principal Investigator (PI) and project teams to accurately position funds so they will not be over/underspent.

·      Assists with preparation of other actions for grant-funded programs. Requires knowledge of federal grant policies and procedures, understanding of no cost extensions, supplements, PI change protocols, and other post award requests.

·      Maintains comprehensive list of grant award dates, required reports, and grant expiration dates.

·      Assists with advising Program Directors and Principal Investigators on grant responsibilities and requests for amendments to current agreements.

·      Participates in training and maintain familiarity with protocols for federal grant budget management.

·      Assists other departments outside OSPSP when questions arise in the proposal process.

Minimum Qualifications

·      Bachelor’s degree required

·      Two to four years progressively responsible financial, administrative, and accounting experience

·      Demonstrated budgeting, financial skills and proposal development required

·      Thorough understanding of financial management, accounting procedures, administrative systems, and business management; ability to make projections and analyze trends

·      Demonstrated experience with Workday Adaptive Enterprise Resource Planning Software

·      Preferred experience with the National Science Foundation’s Fastlane system and Research.gov, Grants.gov or other federal grant-making agencies, and/or eRA Commons for the National Institute of Health

·      Proficiency with Microsoft Office Suite required

·      Superior communication, organizational, budgeting, and project management skills.

·      Ability to work independently and apply broad policies and procedures to perform job functions
