Check out our growing team and join us! of Position:The Administrative Assistant position in the Human Resources department is primarily responsible for scheduling interviews with potential candidates and scheduling training activities for existing employees. As capacity allows, the Administrative Assistant will support the team in additional administrative tasks related to Onboarding Support, Document Maintenance, and compliance.  The essential duties and responsibilities include the following.Key Responsibilities and Attributes:Scheduling Support – 75%Schedule interviews for all open positions (Outlook, Newton)Schedule all training activities – new hire, leadership, and ongoing training (Outlook, Internal system)Onboarding Support – 10%Organize new hire training filesInitiating and overseeing drug screens, reference checks and background checksCreating Offer LettersTransfer all employee data from talent management system to HRIS systemCreate Medical and Personnel File for New HiresDocument Maintenance – 10%Updating training PowerPoints and other materials as necessaryComplete Excel tracking or reporting when necessaryManaging updates to job descriptionsMiscellaneous – 5%Supporting HR team in reporting requestsRetention and File MaintenanceDraft Employer Brand and Newsletter templatesHR ProjectsAssist with annual I-9, HIPPA, Cell Phone and Parking Pass AuditHR Team goal trackingSchedule monthly HR team meetingsBack-up on Front Desk coverageOther duties assigned as neededKnowledge/Skills Preferred:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. A successful candidate will have the following skills:Must have experience with calendar managementMust thrive on details and follow-upPreferred, but not required: Associate’s degree (emphasis in Business Admin, HR, or comparable area) and/or Minimum 1-2 years of applicable business experienceAbility to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals as well as operate internal, online systemsAbility to write routine reports and correspondenceAbility to mentor, grow and work harmoniously as part of a larger teamAbility to apply common-sense understanding to carry out instructions furnished in written, oral or diagram formAbility to problem solveAbility to manage healthy business processesTo perform this job successfully, an individual should have experience in Microsoft Outlook, Word, Power Point, and Excel.
